These update are for Release 08 which includes:

• Contract Variation - the ability to vary a contract within P2i (refer to Contract Variation)

  Warning To vary an existing contract with NO project Variations workflow steps in the project use the transition project (refer to Create a Transition Project)

• Contract negotiation - include the Funded Organisation to approve the MCD prior to finalising the MCD (refer to Contract Negotiation)

• Electronic signatures - using Docusign to electronically sign the MCD (refer to Electronic Signatures)

• New dashboard app - one stop location to identify outstanding work allocated to staff (refer to Dashboard App)

• Streamlined contract project workflows (refer to Create an FS or Particulars Project, Create an FSD Project

   

How will these features benefit department users?

• Improved Efficiency:

  • Ability to amend (vary) contracts within P2i rather than cancelling and creating new contracts when routine changes are needed, improving traceability on contract amendments.

  • Ability to adjust contract clauses based on department needs, providing support for all service streams.

  • Ability to edit individual clauses within P2i with audit trail (track changes and editor).

  • Ability to approve contracts using eSignatures within contracts (retaining the option to use wet signatures where preferred), reducing time and cost for executing contracts.

  • Provides version control capability for tracking approvals.

  • Reduces effort required to establish contracts.

  • Streamlined project workflows – unnecessary steps removed (6 steps instead of 12) and ability for a single RFQ to generate multiple contracts, requiring less effort to ready contracts for execution.

• Enhanced Collaboration:

  • Provides for ‘in system’ communications and ability to share a contract in draft with Funded Organisations resulting in higher quality contracts.
